私の本、「モチベーションが上がるワクワク仕事術」の中では、仕事を楽しくしていく為の仕事術を紹介しています。仕事から楽しさをを奪う「仕事のやり残し感」を防ぐ為の方法として、第６章の一部で、タスク管理の重要性とそのやり方を紹介しています。

そこでは、

  1. やり残し感の原因は、あなたの頭の中がゴチャゴチャたくさんのモノが置いてあり、整理されていない机のような状態になっているから。まずは、頭の整理が必要
    1. (ア) 「忘れてはいけないというプレッシャー」からの解放が必要
  2. 頭はHDDではない（頭に気になることを保存するのはやめよう！）」という事。注意力を必要な所にだけに集中して使える仕組みを脳に作るということ。「忘れてはいけないというプレッシャー」から解放される仕組みを作るということ。その為には、
    1. 頭の中の「やりかけの仕事」「心配事」は「すべて」紙に書き出す
    2. 「心配事」については、それについてあなた自身でできる行動を、「やりかけの仕事」化する
    3. それぞれの「やりかけの仕事」について望むべき結果を決める
    4. 定期的にそれらをレビューする

本では、上手なタスクマネジメントする為の詳細は、ページ量の制約で、書けなかったので、ここで一つご紹介。



それは、タスクマネジメント１・２・３ルール。



タスクマネジメントの大事な目的の１つが、「忘れてはいけないというプレッシャー」からの解放です。あなたがタスク管理をしているツール（手帳やPCなど）を見れば、全てがそこに書いてある状況を作るという事です。頭の中に、タスクを管理させないという事。少しでも、頭の中にタスクが残っていれば、「何か忘れていることはないだろうか？」という不安がつきまとってしまうからです。そして、その不安は的中する事になる。



そうならない為に、この１・２・３ルールを是非、適応して、タスクマネジメントを行ってください。

  1. １秒後にやる事以外は、全て書き出せ！
    よくタスク管理で質問があるのが、「どんなに小さな仕事でも、ツールに書き込むべきか？」という事。例えば、上司から、「今度持っていく資料をコピーしといてくれ」と頼まれたとします。そんな小さな事まで書くべきか？という事です。
    私は、書くべきだと思います。どんなにカンタンな仕事でも、今すぐにやる仕事でなければ、ツールに書くべきだと。


    それは、タスク管理の目的が、 「忘れてはいけないというプレッシャー」からの解放だからです。どんなにすぐに終わるようなカンタンな仕事でも、大事な仕事です。その仕事を、今やらずに、ツールに書かないのであれば、頭に記憶しておく必要がでてくるのです。そうした瞬間から、タスク管理をしている場所が２元管理（ツールと頭の中）されているという状況になってしまいます。


    この小さな積み重ねが、やり残し感を醸成していくのです。「３０秒で終わる仕事の為に、１分かけて、ツールに書き込むなどバカバカしい」と言われる人もいると思います。本来なら３０秒で終わる仕事なら、今、やるべきです。それを後でやろうとするのは、何かの事情があるからでしょう。


    書くのが面倒くさい事の言い訳をしないで、今すぐやる事（１秒後にやる事）以外は、全て書きだしていきましょう。
  2. セカンドアクションまで見通して、書き出せ！
    仕事の中には、完了した時点でもう次に何も発生しないものと、次に新たに何か発生する仕事があります。
    例えば、提案書を書くという仕事。提案書を終えた時点で、終わったわけではなく、次に、提案書を提出する相手とのアポが発生するはずですよね。セカンドアクションが発生するのです。実は、このようにセカンドアクションが伴うような仕事が半分くらいあります。


    「提案書を書く」という事を手帳に書き込むとき、それと同時に、「提案書提出についての○○さんとのアポ」という事まで書き込む。いつも、先手先手のタスクを考え、今の時点で次に必要となるタスクを書き出し、管理していく習慣を身につける。これが、仕事の効率を上げていくのです。


    次にセカンドアクションを考える事の重要性は、できるのメンタリティ。　セカンドステップメンタリティを習慣化しよう！ まとめています。参考にしてください。
  3. ３時間以上かかる仕事は、分解して書き出せ！
    私達の仕事は、すぐに終わる仕事ばかりではありません。１日ががりの仕事や、複数日数かかるような仕事もあります。私がオススメするのは、大きな仕事を引き受けた時点で、まず３時間以内で終わる仕事に分解していく事をオススメします。（実際に、１日のスケジュールを組む際には、それを３０分〜１時間単位に更にブレークダウンしていく事をオススメします。タスクブレークダウンのやり方は、「モチベーションが上がるワクワク仕事術」で述べていますので、そちらを参照してください。）


    仕事を引き受けた時点では、細かく書くことができなければ、「○○を行うスケジュールの作成」というタスクをまず入れるとよいでしょう。

この１・２・３ルールを覚えて、タスク管理するだけで、「どれを、どうタスク管理しようか？」という迷いがなくなり、タスク管理の効果性がグーンっと上がりますよ。是非、お試し下さい。
